What should I look for in an applicant tracking system for a home care agency?
Look for a tool that tracks each applicant’s steps, not just resumes. It should show background check status, TB screening, I-9 date, training and orientation, and expiry dates in one place. It should work on a phone and keep records safe. Match it to the items your state rule and program require.
Most hiring software is made for offices with resumes and interviews. Home care hiring is different: you need paperwork that is correct and in time. A good checklist for any tool:
- Does it work on a phone for applicants and for you?
- Can it send the same-day reply that applicants expect?
- Does it track each step in order: application, phone screen, interview, offer, background check, exclusion list search, TB screening, I-9, orientation, training, first shift?
- Does it show dates that expire, like TB screening, training hours and yearly evaluations?
- Does it keep I-9 forms apart from other files?
- Can you export a file for an auditor?
- Who can see the records, and how are they protected?
- Is there a cost per user or per applicant, and what happens to your data if you leave?
Georgia’s private home care rule lists what must be in each personnel file, including TB screening, orientation and training records, and a yearly evaluation. Use that list as the base of your checklist.
Try a tool with a real applicant before you sign. A spreadsheet can work for a small agency if someone owns it.
