What do I do when a caregiver calls out and I have nobody to cover the shift?
Work down a call list in order: the client’s other caregivers, then staff who want extra hours, then your supervisor. If nobody can cover, tell the client early. Georgia’s private home care rule says that in an unexpected shortage you must advise the client and refer them to another agency if they want one.
A call-out at 6 a.m. is the hardest part of running an agency. A plan you wrote down ahead of time makes it much easier.
Here is a simple order many owners use:
- Check who already knows the client. A caregiver who has met the client is the best cover.
- Offer the shift to staff who asked for more hours. Check their weekly total first so you do not create overtime by accident.
- Ask your supervisor or on-call person to cover if the visit is short or the task is simple.
- If you still have no one, call the client or family before the visit time, not after.
Georgia’s rule for licensed private home care agencies says you need enough qualified staff to deliver the services in each client’s service agreement. If an unexpected shortage stops you, you must advise the client and refer them to another agency if the client wants that. Georgia’s Medicaid waiver manual also says a supervisor must be available at all times to staff who are giving care, and that agencies must answer member or family calls within 30 minutes.
Write your call order down so any person in your office can follow it. Whoever covers must still be trained, checked and cleared for that client.
