My caregiver forgot to clock in or out. What do I do?
In Georgia, an administrator can enter the missed clock-in or clock-out by hand in the EVV portal. A reason code is required. Use the real times, ask the caregiver what happened, and keep a note. Fixing it the same day is much easier than fixing it weeks later when the claim is rejected.
This happens to every agency. Georgia’s EVV FAQ gives clear steps.
If a caregiver misses a clock-in or clock-out:
- Ask the caregiver when the visit really started and ended.
- Have your administrator enter or complete the visit in the EVV portal.
- Pick the reason code that fits. A reason code is required for every manual entry.
- Add a short note.
Other cases the Georgia FAQ covers:
- App failure: the caregiver calls the administrator, who logs the visit with a reason code explaining why it could not be captured.
- No phone or device: the caregiver records the times and the administrator enters them, with a reason code.
- Different location: record the actual address with a reason code and an explanation.
- No signal: the app supports offline check-ins and syncs when the connection returns.
A caution: manual entries are allowed, but they stand out in an audit if there are many. Track who forgets and why, and retrain. Do not use manual entry to cover a visit that did not happen.
