Training

How do I track my caregivers’ training and certificates?

Keep one list for every caregiver with each course, date, hours, who taught it, and proof. Georgia’s rule asks for proof of orientation and training in each personnel file, plus an annual performance review and TB results. Set a reminder 30 days before anything expires.

Georgia’s private home care rule says each employee’s file must include documentation of required orientation and training. The same list also calls for TB screening results at hire and every year, a job description, a five-year work history, and an annual performance evaluation.

A simple tracking method:

  1. Make one row per caregiver, with columns for each required item: orientation, 40-hour course (or credential), task competency checks, annual in-service hours, CPR or first aid if you require it, TB, background check.
  2. For each item, put the date done, hours, who taught, and where the proof is kept.
  3. Add a due date. Annual items are due 12 months after the last one.
  4. Set a reminder 30 days before due.
  5. Review the sheet at the start of each month.
  6. Before an inspection or Medicaid review, pull each file and match it to the sheet.

Federal rules for Medicare home health aides also require documentation of the training and the competency evaluation, and of the 12 in-service hours.

The usual failure is not missing the training. It is having done it and being unable to find the proof. Scan certificates the day you get them, and name the file with the person and the date.
