Scheduling & Payroll

Do I have to enter every visit on the schedule in Georgia’s EVV system?

Georgia’s quick start guide tells new agencies to add upcoming scheduled visits in the EVV admin portal, after adding caregivers and confirming clients. Visits start from the schedule, so a missing or wrong schedule leads to problems later. Your own EVV vendor may send schedules to the state system for you.

Georgia’s EVV setup has a clear order for new agencies:

  1. Register at the Georgia DCH Mobile Caregiver+ EVV registration page. You get an email with a username and a temporary password.
  2. Log in to the Admin Portal.
  3. Add your caregivers, one by one or by import.
  4. Confirm that your clients (the guide calls them recipients) show up in your account. They come in from Georgia’s records.
  5. Manually add upcoming scheduled visits in the Admin Portal.
  6. Ask caregivers to download the app and finish their registration and training.

Why the schedule matters: the caregiver’s phone shows the schedule, and the check-in is matched to a scheduled visit. If a visit is not on the schedule, your caregiver may not be able to check in the normal way, and your admin must enter it by hand with a reason code.

If you use a third-party EVV system, Georgia’s FAQ says you must still register with the State solution and that your vendor must send the required EVV data to it. Cost of the third-party system and its connection is the agency’s cost.

Questions about missing authorizations or clients who are not listed go to the DCH EVV Program team.
