A caregiver forgot to clock in or out in Georgia EVV. How do I fix the visit?
In Georgia EVV, a provider administrator can update the visit by hand and pick a reason code from the list. Use the start and end times the caregiver reports. DCH says manual schedule changes are for fixing errors like a missed clock-in, not for lowering billed units.
Georgia’s EVV FAQ covers this case directly.
What an administrator can do:
- Missed clock-in or clock-out: manually update the visit in the admin portal.
- App problem or no phone signal: enter the visit manually using the start and end times the caregiver gives you.
- Visit ran longer than scheduled: adjust the scheduled time to match the real clock-in and clock-out, and add a note.
- Visit at a different place than planned: use the reason code for it.
Each manual entry or edit needs a reason code picked from the system’s list. The FAQ does not print the codes.
Rules to keep in mind:
- Manual edits should match what really happened. DCH slides say manual schedule adjustments are for correcting errors like a missed clock-in or clock-out, not for reducing billed units.
- After an edit, a visit may show "New" until the system matches it again.
- Keep a note on why the edit was made. If DCH reviews your agency, the note is your proof.
Caregivers can also contact the Georgia EVV support line, or their agency administrator, for help.
