Oklahoma EVV, from the state

Same rules, same tangle

In Oklahoma, the visit still gets typed four more times.

The caregiver taps in. The visit goes to your state’s EVV system. Then someone in your office carries it by hand into payroll, into billing, into the chart, and to the family on the phone. Every carry is a chance for the numbers to drift. When they do, Oklahoma denies the claim, and you find out weeks later. That is Tangleware™: good tools, and an owner in the middle.

Running an agency in Oklahoma? Tell us.

CareBravo works with the EVV systems states use, including Sandata, HHAeXchange and Netsmart. Each state approves its own connection, and each program has its own rules, so we confirm what is in place for Oklahoma and your programs before you switch anything. If we are not running in Oklahoma yet, we will make you an offer to start now while we build it.

Five promises, written like promises.

  1. Nothing stops. Your current system keeps running while CareBravo runs beside it for two weeks on your real data. The Parallel Promise™
  2. 99%, in writing. On Managed Billing, at least 99% of your claims go out without a mistake we caused. If we make one, we fix it free. We cannot promise what a payer decides. Read the guarantee
  3. The floor, stated up front: $250 a month, no seats, no per-user fees, no implementation fee — and corrections never billed twice.
  4. Thirty days’ notice, either way.
  5. Nobody calls unless you ask.

What Oklahoma owners ask.

Is Oklahoma changing EVV systems?

Yes. OHCA is moving from AuthentiCare to Acumen’s Direct Care Innovations (DCI). No cutover date had been set as of the latest notices. OHCA asks agencies to name an EVV point person, review how visits are captured, and, if you use your own vendor, ask it about connecting to DCI.

Can I use my own EVV system in Oklahoma?

Yes, if OHCA has authorized and approved it. The rule also lists requirements such as staff training, backup plans, logged manual changes and six years of data retention. SoonerCare only pays claims backed by data from an approved system or aggregator.

Which EVV system do SoonerSelect plans use?

HHAeXchange, according to OHCA. ADvantage and State Plan Personal Care stay on the state system, which is AuthentiCare today and will move to Acumen’s DCI. If you serve both groups, you may work in two systems until the state transition settles, so plan staff training for both.

When will SoonerCare refuse to pay a home care claim?

When the visit data is missing required items, does not match the service claimed, or does not fit the approved plan of care or prior authorization. Paid claims can also be reviewed later and money taken back.
