District of Columbia EVV and Medicaid home care, in plain words.

DC runs its own Medicaid program, separate from Maryland and Virginia. Personal care aide visits must match an EVV record in Sandata, or DHCF denies the claim. The DC system is free, or you can pay for your own system that sends visits to Sandata.

Same rules, same tangle

In District of Columbia, the visit still gets typed four more times.

The caregiver taps in. The visit goes to Sandata Technologies LLC. Then someone in your office carries it by hand into payroll, into billing, into the chart, and to the family on the phone. Every carry is a chance for the numbers to drift. When they do, District of Columbia denies the claim, and you find out weeks later. That is Tangleware™: good tools, and an owner in the middle.

Running an agency in District of Columbia? Tell us.

CareBravo works with the EVV systems states use, including Sandata, HHAeXchange and Netsmart. Each state approves its own connection, and each program has its own rules, so we confirm what is in place for District of Columbia and your programs before you switch anything. If we are not running in District of Columbia yet, we will make you an offer to start now while we build it.

Five promises, written like promises.

  1. Nothing stops. Your current system keeps running while CareBravo runs beside it for two weeks on your real data. The Parallel Promise™
  2. 99%, in writing. On Managed Billing, at least 99% of your claims go out without a mistake we caused. If we make one, we fix it free. We cannot promise what a payer decides. Read the guarantee
  3. The floor, stated up front: $250 a month, no seats, no per-user fees, no implementation fee — and corrections never billed twice.
  4. Thirty days’ notice, either way.
  5. Nobody calls unless you ask.

What District of Columbia owners ask.

What happens if my PCA visit is not in EVV?

DHCF denies personal care claims with dates of service on or after December 1, 2021 that cannot be matched to EVV information in the Sandata aggregator. Make sure every visit is recorded and matched before you bill. Paper claims still need a verified EVV visit.

Can I use my own EVV system in DC?

Yes, at your own cost. It must meet DHCF’s requirements and connect to the Sandata aggregator. To start, contact Sandata’s DC alternate EVV team. If you use DHCF’s own system instead, it is free to use for your agency.

I also serve Maryland or Virginia. Does one EVV setup cover all three?

No. DC Medicaid is run by DHCF and is separate from Maryland and Virginia, which set their own EVV rules. Set up DC EVV through DHCF’s Sandata system or an approved alternate, and follow each state’s rules for clients there.

Who do I contact with DC EVV questions?

For program questions, email DHCF at EVVInfo@dc.gov. For technical help with the Sandata system, DHCF lists Sandata support at (855) 962-1322 or WDCCustomerCare@Sandata.com. DHCF’s EVV page posts updates and a monthly FAQ, so check it before each billing cycle and when you add a new caregiver or client.
