CareBravo® vs SETWorks: who does the work after the tap?

Short answer: SETWorks suits iDD and disability service providers. CareBravo suits single-location Medicaid home care owners who want an AI agent doing each of nine jobs from one tap at the door, with a person confirming anything that moves money or care.

SETWorks facts are from its own published materials and trade press, checked 28 Oct 2026. Sources are listed below. If something has changed, tell us and we will correct it.

What SETWorks does well

  • Deep IDD specialization: 20 years building IDD software, 40+ states, 1,000+ funding sources billed, 500,000+ individuals supported (vendor figures).
  • Billing validates units as services are documented and holds claims likely to be denied before they generate; remittances post back to the claims that produced them (vendor description).
  • US-based onboarding led by a Manager of Professional Services, with 100% US-based support (vendor statement).
  • Documented EVV submissions to state aggregators, for example Iowa via CareBridge, with step-by-step knowledge-base guides.

Where the work still lands on you

  • EVV is a manual batch process: staff verify check-in data, build a batch, submit it to the aggregator, read results in the Message Center, run mismatch reports, then correct and resubmit flagged records (SETWorks knowledge base).
  • Billing is a separate submit step after EVV: staff run an exceptions billing report, fix issues, rerun it, then submit the batch and watch for funder status messages.
  • State setup is on the agency: enabling EVV services, checking billing codes, and entering Medicaid IDs, provider IDs, EINs and payer contract codes per state (Iowa guide).
  • Payroll is not in the platform; hours go to a separate payroll system such as ADP via integration.

That last column is the pattern we call Tangleware™: good tools, and an owner in the middle, retyping between them. It is not a judgment about SETWorks. It is what happens when the visit has to be carried by hand from one system to the next.

SETWorks may fit if

IDD and disability service providers: employment services, day programs, community services, personal care and residential programs; earlier exhibitor material also lists behavioral/mental health. Case studies are large organizations (Capabilities ~5,000 individuals, Aptiv ~1,600, ChildServe ~5,800 individuals and 1,500 staff).

CareBravo fits if

You run a Medicaid home and community based care agency, you are the one in the middle of the apps, and you want the hours back for your clients or your family.

For a Medicaid-heavy single-location IDD or community access owner, SETWorks offers mature IDD documentation and billing built around larger multi-program organizations, while EVV and billing submission remain staff-run batch steps.

Does SETWorks use AI?

SETWorks AI (2026 site): checks notes for gaps, routes incidents to managers, drafts reviews from existing documentation; states customer data never trains another company’s model and BAAs are in place with every AI provider. No dated launch announcement found.

How is CareBravo’s AI different?

Other home care software uses AI for parts of the work: a caregiver match, a drafted note, a claim check. CareBravo runs an integrated AI workforce: an agent for each of the nine jobs a Medicaid office does, coordinated by Cary, from one tap at the door. Of the home care software on our AI comparison page, checked 28 Oct 2026, none has an agent for all nine. CareBravo’s AI runs inside our HIPAA safeguards. Your clients’ records are not sent to public frontier AI models.

Who is SETWorks built for?

IDD and disability service providers: employment services, day programs, community services, personal care and residential programs; earlier exhibitor material also lists behavioral/mental health.

Can I switch from SETWorks to CareBravo without stopping billing?

Yes. Under the Parallel Promise, SETWorks keeps running while CareBravo runs beside it for two weeks on your real data. Nothing switches over until the numbers match, and you pick the day the old system turns off.

Five promises, written like promises.

  1. Nothing stops. Your current system keeps running while CareBravo runs beside it for two weeks on your real data. The Parallel Promise
  2. 99%, in writing. On Managed Billing, at least 99% of your claims go out without a mistake we caused. If we make one, we fix it free. We cannot promise what a payer decides. Read the guarantee
  3. The floor, stated up front: $250 a month, no seats, no per-user fees, no implementation fee — and corrections never billed twice.
  4. Thirty days’ notice, either way.
  5. Nobody calls unless you ask.
